My Summer Email Vacation: what happened when I just stopped checking the post

If you read the blog regularly you know I’ve been focused a good deal lately on work/life balance issues, mental health and wellness for university staff and faculty, and the intensification of administrative downloading – which on its own is leading to a hell of a lot more email, make-work tasks, and generally unnecessary panic for me and my colleagues (and not just in the UK, where admin downloading has been the exhausting norm for a while now).

Which is a nice way of saying: I’ve been doing far too much fecking complaining lately about how tired I always am as a result of coping with work emergencies that are ABSOLUTELY NOT EMERGENCIES in the normal human sense of that term. (They aren’t even really that urgent. In fact, nobody is going to die, so who the hell cares?)

Certainly plenty of my complaints have been legit, and need to be laid at the feet of an increasingly teetering system in which academic professionals are invited, should they be Type-A like me, to take on responsibility for a whole bunch of stuff (like, oh, say, building and running a new academic program) for which universities no longer have enough staff, and then work ourselves into the ground. But let’s be honest: I am a tenured middle-aged woman with no kids. I have choices about which work I do, how much, and when. I have the choice to stop and give myself a break.

And yet, as I tried to explain to my therapist the other day, we work in a world chock-full of superficial choices that, at depth, amount to very little choice at all a lot of the time. This is a world of “flexible” labour that shames the break-takers and rewards those who are accessible and eager to help, 24/7. And the rewards are rarely just monetary (if they even are that! As a salaried prof I am one of the luckiest “flex” workers on earth, and I do know it). Working yourself to death also comes with an affective prize, the seductive Feeling Of Always Being Totally Checked In. (Don’t believe me? So sometime in the spring I decided this was it: I was making myself sick with overwork, and in the absence of a rescue helicopter from the fantasy world of Neoliberalism Is Over, I was going to have to take personal responsibility for my own wellbeing. Fuck the stuff that wasn’t going to get done on campus as a result; time to shift the priorities.

Step one in this gambit, I figured, needed to be to tune out. As in, to make all of the voices asking for things go away – if only for a little while.

I had to take a holiday, circa 2016, in which I DID NOT CHECK EMAIL.

For a whole week.

Some of you might be rolling your eyes at me right now, but I suspect far more of you have just recoiled in horror. After all, we know what happens when busy professionals turn off the email for a week: hundreds of messages pile up. Coming back to that tsunami is worse than living with the daily, dull ache that comes with seeing the messages drip, drip, drip in.

I have long succumbed to the fear of turning off the email. Hell, at the ashram in Kerala I visited last summer I even checked messages once a day! But this time around I figured I’d hit the tipping point. Time to give email cold-turkey a try and see if the benefits outweighed the consequences.

Word up, people: they did!

Here’s how I managed the tune-out:

  1. I created a “rule” on my laptop mail program (Mac Mail) to send all incoming email from my work account into a folder I titled “holiday post”. (Mail users: go to “preferences”, click on the button in the pop-up window called “rules”, and add away.) That folder lived locally on my hard drive, and I moved it to the bottom of my folder roster in Mail so that if I happened to have my laptop open I would not see it. (And I didn’t: I was surprised how, after a day of being tuned out, I was not even tempted to look and see how many messages had come in.)
  2. I turned off access to work email on my phone and on my iPad. (Easy to do, apple users: go to “settings”, “mail, contacts, and calendars”, and click on the offending account. Turn mail to “off” just like you’d set, say, airplane mode when boarding a flight. Nothing is lost or disappears; the device just doesn’t look for post from that account again until you ask it to.)
  3. I checked my personal email account as normal, relishing the freedom that comes from being able to look at an empty inbox in the process. (SO FREEING!)

What happened when I came back to the land of typing and sending?

  1. The morning after my break ended, I checked the holiday post box and found 203 messages in it.
  2. After 45 minutes of gentle triage, over coffee, that number was down to 16 messages.
  3. Of those, roughly 8 needed answering. I chose to take an afternoon to deal with those, leaving all other work for after the email was up to date.
  4. I turned off the “rule” in my Mac Mail and reinstated my work email on my phone only after the triage was complete on my laptop.
  5. I chose not to reinstate work email on my iPad. After all, it’s mostly for reading the Guardian, watching Netflix and videos downloaded from the web, and looking at Facebook. There’s no need for it to be a work device! (That it took the email holiday to teach me how I use the iPad day-to-day is telling, I think.)
  6. I resumed working as normal, though at a slightly reduced pace. This week, only the one genuinely urgent (IE: overdue) thing got prioritised, and a couple of other tasks are on the roster for when that’s done, as a bonus, if I get there.

How’d I fill all those free holiday hours? I used my away time to do some stuff in the garden I’d been meaning to do but never got to; I sat in my favourite cafe and did NOT do work; I walked the dog enough to satisfy her (not easy – trust me!). I was hoping to spend part of every (hot, crazy-sunny) day at my awesome local pool, but a bike accident involving a lot of road rash on my first email-free weekday (PAINFUL IRONY) scuppered that. Instead, I rode my bike a bunch, rowed, and chilled out in the back yard, not checking email. Revelatory!

Best of all, though, I was genuinely surprised (and pleased) at how easy it turned out to be to ignore my work email all week. I know those of you with strictly separated work and home devices (IE: work phone, home phone; work computer, home computer) might be a bit perplexed at this. But for those of us who work at least partly at home (and all academics do, some like me much more than others) it’s not practical to maintain separate devices. Which means we get in the habit of feeling the urge to check work email during leisure/non-work hours, and feeling it strongly.

I found over the week I took off, though, that being tuned out felt way, way good. Much better than I could have guessed! And having given myself permission to feel free of work messages, free to use my time for my own pleasure and benefit, I became much more attached to that feeling than I could have predicted. The urge to look at work stuff literally melted away in the heat of high Ontario summer – so much so that, when I opened a work message that had been accidentally posted to my personal account, the light nausea in my stomach helped me realise, in my body, just how important the alternative feeling of freedom had become to my wellbeing. (And yes, I deleted it!)

Now, the challenge for me is figuring out how to carry the lessons from my week free of email into my regular work routine, and especially into the chaos of life during the teaching term. For one thing, I’ve already decided I’m going to do another email-free week in August, before things ramp up ahead of the start of term. Then, once we get into the term, I’m going to do something a bit wacky: I’m going to commit to not checking work email on weekends, ever. I’ll let the students know; I’ll set the email bounce. I’ll keep you posted.

The Year That Was, 2016: What Happened When the Students Created the Supplementary Course Reader and Set Their Own Deadlines

Back in May 2015 I wrote three reflective posts about the academic year just passed: what worked, what didn’t, what I hoped to do differently in 2015-16. This year, instead of following that formula, I’ve decided to report on two of the changes I implemented. One went substantially better than I thought it might – though there’s room for improvement, as you’ll see – and the other kind of tanked, in a way I didn’t anticipate – though in hindsight I totally get it, and managed to salvage it nevertheless.

1. Students Create the Supplementary Course Reader

Last year, my teaching assistant for my 20th Century Theatre course, Madison Bettle, built an amazing tool for us all: a reader on our website designed to fill in some of the historical, cultural, and political gaps in student knowledge that we might not get to (or get to fully) in class. Labelled the “supplementary course reader”, Maddie’s tool was a hit with students, who reported using it constantly to prepare for class, essays, and exams. When she reflected on the reader’s popularity, however, she noted that it was a bit too one-way for her liking: it was content delivery online, which meant it also smacked of the kind of passive learning we both like to avoid. She suggested perhaps students ought to be involved in the reader’s creation, as well as its downloading, in future years, and I eagerly took up that suggestion.

This year, 20th Century Theatre began with a visit from Maddie, who explained the supplementary course reader’s construction and purpose to the new cohort; this information complemented the course reader assignment description I’d set out in the syllabus. Students were responsible for creating two course reader entries over the year, one per term; they could choose the weeks they would contribute, as well as the topics they’d write about, or they could suggest their own topics. Each contribution was worth 5%, and I purposefully designed the task so that it would be fairly easy for a committed but not necessarily gifted student to achieve 5/5. Students needed to tick 5 boxes, from being on time with their draft submission to me, to covering some basic content bases, to editing their draft in accordance with my suggestions and uploading their final draft to our website; they did not need to create something perfect, nor indeed essay-like. The purpose of the reader, I stressed, was to contribute to our shared understanding of the periods and cultures under discussion in class, not to make an argument or demonstrate exceptional grammar skills. Newsy posts were good; so were photos and videos, plus useful links in the Works Cited. It was fine to start with Wikipedia, but not a good idea to stop there. To assist students confused by this (admittedly somewhat unique) assignment, I created a model entry for the first week and talked us through it in class. I also made a point of drawing attention (in a good way) to the first couple of posts made by students in September.

The pros? My god, the students were on the ball about this. Maybe a quarter of the time did I have to remind them to get me drafts on the Monday afternoon before the week’s classes; once I’d done so they were immediately responsive, and of course by that point I’d already read and commented on the work submitted by students ahead of the game. I found it really important to vet the drafts; I hadn’t realised until the first wave of work came in that the draft editing stage was my opportunity to arrest any egregious mistakes that probably ought not to be published on the web. (Although the class’s WordPress site was designed not to be easily searchable by bots or trolls, it was nevertheless public.) At the same time, though, the students were clearly making valuable contributions to our collective knowledge as a class, and I also used my read of their first drafts to encourage them to augment ideas, both with text and with supporting images and videos.

The cons are all down to me. In fact there’s really just one big con: I was so busy imagining this assignment and creating the scaffolding for students to contribute to the reader that I forgot entirely to think about how the reader could be used, actively, in class or toward future assignments. I often pointed at the week’s contributions in class, noting whenever possible links to our discussions or to my or my TA’s pocket lectures; I don’t think that was enough, however, and I felt at year’s end like all that great material was just sitting there on the website, underused. I did not – again, not really thinking enough about application! – ask the students on the mid-year survey how the course reader contributed to their weekly prep, nor did the stats WordPress offers give me enough information about who used the course reader page when. (Maddie’s reader was exceptionally well used because she was an instructor on the course; I’d really like to know to what extent students were willing to use one another’s work as authoritative. My guess is: less than I’d hope, more than I fear.)

So, while I’ll certainly keep this assignment for future iterations of the course, I’ll give a great deal more thought next time to how its materials will apply to student learning outcomes overall, and I’ll poll the students actively on how they use the course reader materials. I’ll probably also design a larger, capstone assignment for the course with the reader in mind.

2. Students Set Their Own Deadlines

Still in 20th Century Theatre, I decided to hand power to each student to decide when they/she/he would hand in the theatre review assignment, as well as the major research essay assignment. In the first case, we took two field trips to see shows in Toronto, one in November and one in January, and students had the option to review either show, handing in reviews the week after the field trip. In the second case, students were given a roster of dates to pick from in March and early April, and could hand in their research essays on any of the three, provided they selected their due date in advance. We chose dates together before Reading Week, when our research librarian Melanie Mills came to speak to the class about time management. The rule was that students could ask for “extensions” on their original deadlines up to and including the final suggested due date, as long as those extensions were requested before their chosen deadline rolled around. Plus, a bonus for anyone handing in on the first or second suggested date: feedback from both me and my TA Meghan, plus a chance to “do over” for a better grade.

I – VERY naively, clearly! – assumed students would take full responsibility for their learning as a result of this process, and hand stuff in according to the schedules they set for themselves. Students often complain to me that their stuff in my class is due the same week as everyone else’s class’s stuff; I figured if I gave them the option of picking their own due dates, and encouraged them to look at their schedules and think in advance about how to balance their assignments, they’d nail it AND stop complaining to boot.

Um. Ya. Yup. Right.

It turns out students are way human, and procrastinate about their own self-imposed deadlines exactly as well as I do. Loads of them picked the first deadline; by the end, only two or three of 25 actually handed in that day. (Similarly, while everyone professed the best of intentions with the theatre review assignment, only two students reviewed the November performance.) They came to me shame-faced, asking if they could extend; true to my word, I granted them the extensions requested, and could only commiserate with them about how hard it is to stick to a deadline you impose on yourself. When the advantages are theoretical (I can party AFTER I hand in!) and the consequences limited… well, we all kind of suck at sticking to our word.

In the end, though, the abject failure of the set-your-own-deadline task was saved beautifully by a meta-assignment I attached to the research essay. Students were invited to keep a time management journal, writing at least four entries in it reflecting on how the preparation for their research essays was going (and on how they were doing at sticking to their deadlines). The return was golden: create a time-management plan (in class with me and Melanie at the start of the process), write the entries, and hand in with your research essay’s final draft, and you’d be rewarded with a bonus 5% on top of your essay mark, no strings attached.

To my surprise, students DID keep the journals. (Admittedly, I offered short bursts of time in class on occasion to write entries, guaranteeing a certain amount of buy-in.) And in keeping them, they took a surprising amount of time and space to reflect on what went wrong when they failed to keep to their originally chosen deadlines. The TM task, in other words, allowed students to confront their bad time management habits directly, and to think carefully about why they had not managed to take full advantage of the opportunity to set their own, more effective, deadlines for the research essay. While I would have liked to see students better use their time to begin with and hand in early for the do-over opportunity, I was really glad to read so many honest, forthright self-analyses, evidence that, at the very least, I got students thinking about how much their schedule chaos is down to their own making, rather than their profs’ tendencies to, you know, schedule final assignments at the end of term.

(Plus, it’s kind of a relief to know that your prof is also great at procrastinating, and is constantly working on that … I wasn’t shy about sharing this all-too-human reality with them, either.)

So I think I’ll use the choose-your-own-adventure deadline option again too – though this time primarily to watch students realise, along with me, how hard it is to work effectively within so much freedom. Something tells me that’s the best lesson to learn, and to learn early.

Write. Just write. And be amazed.

You might be familiar with this advice often given to graduate students and research faculty alike: if you need to get something written, set aside a bit of time every day – we’re talking, like, 20 minutes, maybe 30 – and just sit down and do it already. Be prepared for a lot of what you write ultimately to go in the bin. Be prepared to find it cringe-inducing to begin writing, not like what you appear to be writing, and yet still have to keep going until the egg timer makes its pinging sound. And be prepared for the thing you need written, amazingly, actually to get written.

I freely confess I’ve not followed this advice myself in recent years – and I have to say I regret it. I’ve realised lately that I’m not getting the writing done that needs (or wants!) doing, and while I often blame my teaching and service workload for clawing time away from my writing, especially in the school term, the sad truth is that I could easily find 20 minutes a day to write. I just choose not to find it – and my mood suffers as a result.

This truth was driven home to me in late January when Melanie Mills, the instructional librarian attached to the Department of English and Writing Studies at Western, visited my modern theatre class to take us through a time management exercise. (You can read a bit more about that here.) This exercise is attached to the students’ current research essay task: in addition to writing their research essays, the students all made time management plans, and I asked them each to keep a time management journal. (Handing in their plans and journals with their essays guarantees them a free 5% on top of their research essay grades.) I also asked them to select their own, custom due dates for their essays; the idea was to give them the freedom to work their essays into their term’s labour in a way that made sense for their own, individual schedules. Of course, the time management tasks, plus the customising of due dates, had another purpose too: to force students to confront their procrastinating tendencies head-on, and to reckon with them.

What happened when I did the time management exercise with Melanie and the class back in January? Surprise, surprise: I ran smack into my own procrastinating tendencies. I learned that, on the scale she gave us, I score a bare 6/10 for TM skills. In particular, the exercise revealed that I am bad at setting priorities for myself. I tend to do the work that will create an easy sense of satisfaction at the end of a day (teaching/marking tasks, addressing emails and shrinking the inbox, writing blog posts […ahem]), and I put off for another, “protected” day the things that I deem most challenging and often most important to my sense of self (like writing). Of course, those “protected” days are a ruse. They usually don’t come. Or they come rarely. And when they do, the build-up is so severe that sitting in front of the screen to write becomes a stomach knot-inducing burden, an all-or-nothing high-stakes game.

Scoring a C in time management lit a bit of a fire under me. No, I’ve not been writing every day – not yet. (See my last post for the panic under which I’ve been working this term; I’m barely hanging on, but looking much forward to the change that end of term brings in three weeks’ time). But I have been thinking more and more about the ways in which we all (including me!) tend to equate writing with the highest of stakes, about how to lower those stakes a bit, and about different ways to help students, in particular, to recognise the value of setting aside just a small portion of time in a day, sitting down with the anxiety, pushing it to one side, and writing something, anything, just to see what happens.

I’ve been an advocate for short bursts of writing in the classroom for a while; I got religion while at Queen Mary, and I learned a huge amount from the team in the Thinking/Writing program there. The ethos behind that program is nicely captured in a very recent article by Neil Haave for the National Teaching and Learning Forum, in which Haave argues that writing is a thinking process, not just its outcome or record. Citing scientific research into the cognitive changes that writing induces, Haave writes,

By placing thoughts in the structure of a sentence, we produce vehicles of thought that then may be manipulated on the page or screen (Menary 2007). The act of manipulating the thought vehicles (sentences) is a way of manipulating our thinking by integrating different ideas—it produces thinking: Writing is thinking. Thus writing is not just about enhancing memory and recording thoughts—it is not simply the recording and transmission of information, though it does play that additional role. Rather, when writing sentences, creating new sentences and moving the contained phrases and container sentences around in new structures, the writer is actively thinking, bringing ideas together in new ways that illuminate each other in a manner unknown until that moment.

What this kind of research teaches us is, I think, ground-breaking: that when we write, stuff moves in the brain. We change. We develop. We learn, and we grow. It might not feel like it at the time, but that’s what’s happening: we’re learning and growing as we struggle to get word onto page.

This is a really liberating way of thinking about writing and the anxiety it brings, if you ask me. It puts in a very different, much more positive light those moments that, let’s face it, we ALL fear, that produce a lot of the fear that stops our writing from starting in the first place. That is: those moments when we hit a wall, don’t know where to go next, don’t see how all the ideas connect up… because our brains are in the process of making fresh, often complex, discoveries about how the ideas on the page will finally come together. We just don’t know what that looks like yet. We’re still working it through –  but we can only work it out by writing about and often around it. Ironically, these moments are the moments that necessarily precede the breakthroughs. They are also, however, the moments when many of us (me included…) often stop, panicked, and close the laptop.

Haave says: “I believe that one of the reasons students have a difficult time writing is that they spend so much time thinking about what to write before they write as opposed to simply writing what they think.” The solution, for him, is to create as many opportunities as possible for students to write down what’s going through their heads as they work, and to share that low-stakes (not for grades!) writing with a peer partner as often as possible.

I use these kinds of low-stakes writing exercises in class all the time, and a number of past students have reported to me on their value for their own learning practices. But in honour of the specific challenges posed by our research essay task and time management meta-tasks this spring, last week in modern theatre I went one better. I turned our final class hour into a writing “retreat”, inviting students to come to class and just write for 50 minutes. Melanie was there to offer support, as was I and my TA, Meghan. We volunteered to talk through difficult issues with students, to read bits and pieces, to help with research challenges, and to brainstorm around thesis statements that just weren’t quite there yet. I explicitly styled this hour as a gift – students could choose not to come, though regular absence penalties applied, but I told the students that I hoped they would come, because when were they going to gift themselves a whole hour just to write, and then to put the writing away and get on with the day?

In the end, more than half turned up – and in mid-March. I’m calling that a win, for them and for writing-as-thinking. I just wish I’d given myself that hour to write, too.

Half term pulse check (part 1)

Reading week! Also known as: Fly to Jamaica Week. For me, though, it’s almost always Fly to London Week. I’m in the UK right now for work meetings, plenty of theatre-going, and, of course, catching up with the friends (actually, more like family) I left behind when I moved from Queen Mary back to Western in August 2014.

Getting away for reading week has a number of advantages (for faculty and students alike). It’s necessary, I think, to get physically as well as mentally away from the classroom for a time, just to check in with ourselves and make sure we’re taking care of the needs that often go ignored in the term. (Proper nutrition! Proper sleep! Game of Thrones! OK, so I am so not a GofT person, but I know all y’all know what I mean.) For me, reading week is always a pleasure in part for the excuse it affords to check out of my head and back into my body for a few days. But it’s also a pleasure because it provides a welcome, comparatively relaxed opportunity for me to take the pulse of the classes I’m teaching and work out if anything needs tweaking or changing as we head into Term 2, Part 2.

This winter term I’m teaching two classes at Western: 20th Century Theatre (an English and Writing Studies course), and Performance Beyond Theatres (aka Performance Studies, a core course in our Theatre Studies program). 20th Century Theatre is a full year class, and I invited the students in that group to fill out an anonymous survey at the mid-point (Christmas break); I then made micro-adjustments after going through their responses with my TA Meghan before we returned in January. In Performance Beyond Theatres, though, THIS is the midpoint, so I did a quick survey with them last Thursday, specifically focused on the blended learning experiment we’ve been doing in that class this semester.

This post is about that experiment, the students’ feedback on how it’s gone so far, and my response to that feedback. (My next post will be about the utterly amazing artists’ talk we held in 20th Century Theatre just before the break – inspirational, fun, and provocative. Look forward to that one.)

Back at Christmas time, my friend and colleague from Brock University Natalie Alvarez and I embarked on an utterly mad teaching experiment. We decided to mingle our two undergraduate performance studies classes online in order to give our students on our separate campuses (about 200km apart in real space) some value-added learning opportunities. Why the hell? Well, for one thing, performance studies is still a relatively new phenomenon in Canada, and especially in undergraduate classrooms in Canada; Nat’s class and mine were thus not only unique birds, but they were also, kismet-like, happening at the same time. We therefore figured some kind of co-teach model would offer our students exposure to one another and to our shared expertise in the field as teachers and researchers, as well as an opportunity to collaborate on some pretty unique assignments. (We also hoped the experiment would set a precedent for blended learning opportunities in our separate departments going forward).

So, armed with optimism, courage, and a couple of drinks, we put together a shared course WordPress site (which needs to remain private, as it’s a place for learning, trial and error – no links here), created a short intro video explaining our logic to the class, and then committed to trial running the virtual portion of the course until reading week, when we would ask the students whether or not it was worth continuing.

The layout of our blended course has looked like this so far. Each week, one or the other of us creates an online lecture based on the week’s readings. (Our course outlines are not fully identical, but our readings and our assignments are deliberately matched.) That lecture is meant to be about 25 minutes long, and it includes a task for the students to do in the remaining 25 or so minutes of what we call their “virtual hour”. For example, during the week on Michel de Certeau’s “Walking in the City,” I delivered an online discussion of the reading, focusing on three key ideas, and followed that with a video demonstration (starring my dear friend and collaborator D.J. Hopkins) of the task I set for the group for the week.

Following this virtual hour labour, our individual classes have met live each week for two further hours in order to work through both our reading materials and the materials each student produces as part of their task work. (Each student has also been required to comment on one other student’s task materials in order to demonstrate online engagement; typically, my students comment on work by Brock students, while the Brock students, who are part of a much larger group, look at one another’s materials as well as Western students’ materials in equal portions). In typical “flipped classroom” fashion, we try to use our face-to-face meetings to explore challenges in the readings, work through problems we’ve encountered in making sense of them, and nuance our thinking about our weekly subject matter as much as possible. (IE: no lectures here.)

I’ve personally found our online work really gratifying, humbling, and instructive. It’s been a significant challenge for me to learn how to use video tools in a not-crap way (I’ve been teaching myself Screenflow, for example, and have figured out how to do basic video editing in Quicktime as well). As I rarely lecture in my “real” teaching life, I’ve also found preparing and delivering the online lecture materials a useful way to rethink stagnating elements of my own pedagogical practice. (Yes, active learning friends: lecturing does have some real advantages.) The materials my students have produced in response to the weekly online lectures have been consistently of a high calibre, and some of them have been simply outstanding. I always find they contain insights worth pulling out in “real time” classes, and frequently those insights lead us on to further discoveries.

The process has not been without bumps, though. In part because Nat and I are in no way AV experts our online materials have often been posted to our shared website later than planned, and other hiccups have occasionally interrupted their sharing. (Last week Youtube blocked my lecture on Judith Butler because one of the videos I embedded, by the awesome feminist performance artist The Famous Lauren Barri Holstein, contained a Backstreet Boys audio track. Welcome to the neoliberal classroom!) On the content side, sometimes in class I’ve felt like we’re treading ground already familiar from the lecture, and I find I have to really challenge myself to get the balance between concept reinforcement and further concept development right. (This is much harder than it sounds.)

So what do the students think so far? On our mid-term surveys we asked three questions:

  1. What have you found productive/useful about the virtual hour labour?
  2. What have you found unhelpful, or unproductive?
  3. Would you like to continue with the virtual hour after reading week?

The feedback did not provide a consensus – half the students wanted to keep the virtual hour, while the other half did not! – but it did prove remarkably consistent. Most students said they found the online lectures helpful and clarifying – and we’d already sensed in class that this was the case. They also, however, said that the lectures were too long and that the tasks plus lecture consumed easily more than an hour (more like 1.5 hours, in fact) each week.

The students are not wrong: by the end of our first six weeks our online lectures had crept well beyond 30 minutes (my last one was 43 minutes! Yikes!), and of course Nat and I easily forgot (as many teachers do) that students always take much longer than we do to complete any learning task – they are simply less experienced learners and so inevitably slower. I found myself, a bit embarrassed, thinking back to my review of Martin Bickman’s book back in January, and to his comment about how he, at least, was never bored by his own lectures… without question Nat and I fell a bit in love with our own commentary on our favourite performance studies topics, and forgot about our stopwatches.

At the same time, though, we found ourselves thinking carefully about the implications of this feedback for our teaching more broadly. After all, what the students’ comments reveal is that there simply isn’t enough time in any given teaching week to cover complex topics as fully as we might like to do – or as we believe we need to do.

Now, of course, we all know this is true: it’s a teacherly cliche to complain there’s not enough time! It’s also easy to forget, however, that you’re blabbing on too long or trying to cover too much when you can just run long in a live classroom hour and pick up the following week where you left off; I’m as guilty as everyone else of bad classroom time management. To our surprise, however, our virtual hour sessions seemed to operate like a pace car, showing us in real time how little teaching time we’re actually working with – and thus how prudent we actually need to be with our answer to the all-important question, “how much is actually enough?”

So what’s next for the blended experiment? We’ve decided to try one more virtual hour, and in it to enforce a rigorous 20-minute online lecture cut-off time. (REALLY.) We’ll do a further, quick pulse-check at the end of that week and then make a decision about the remaining three sessions – online, or go live, according to a student vote. Whatever the results of that vote, though, I know I’ve taken from this first trial run a total classroom time-management recalibration, which can only be a good thing.

[Guest Post] A Crash Course in Time Management N.B., This is both Urgent and Important! ;)

Time management is a tricky thing. Many of us – myself included – have managed to cope pretty well without any formal time management training or skill development. We keep track of where we need to be and when (e.g., scheduled lectures/tutorials, shifts at work, volunteer commitments) and somehow manage to cram all of the rest of life’s ‘stuff’ (e.g., school work, exercise, groceries, socializing) into the nooks and crannies that surround our fixed commitments. But wouldn’t be nice if we could do better than just ‘cope’ or ‘survive’? Wouldn’t it be kind of awesome to thrive? That is, to set yourself up to do your very best and to show others what you’re truly capable of? All without routinely pulling all-nighters or feeling guilty or embarrassed when you let someone, namely yourself, down?

Good time management involves setting goals, developing strategies to help you achieve those goals, identifying the tasks or activities that will help you enact the strategy, and prioritizing your time accordingly. It sounds like a lot, but it can be pretty straight-forward. Especially when you have the right tools to help.

This morning, we watched Oxford University’s Short Guide to Managing Your Time where we learned about the fixed (i.e., ‘rocks’) and fluid (i.e., ‘sand’) activities that make up the stuff of our lives. We also learned about the perpetual challenge of trying to fit it all in a finite amount of time. If we think about the work that entails academic research and writing, fixed elements might include: your assignment due date, essay length, and the minimum number of secondary sources you have been asked to use. Other fixed elements that may not be as obvious might include: the availability and demand for research sources (especially physical books in the library) and access to research support services (e.g., Research Help hours of service; Kim, Meghan, and/or Melanie’s time and availability for one-on-one support and guidance. The more fluid elements of academic research would include things like: when you decide to do your preliminary research and reading; how much time you decide to dedicate to these activities; and access to research resources and supports that are readily available at point of need (e.g., online, anytime), such as e-books and online journal articles. Generally speaking, you’ll have more ‘play’ with the fluid bits and much less control, if any, with the fixed elements.

If you think you could benefit from a bit of guidance identifying the various components of the research process, and how much time you might want to dedicate to each task or phase of the process, I would encourage you to consult Wilfrid Laurier University’s Assignment Planner. This tool essentially reverse-engineers the research process and provides guidance on how and when to engage in specific tasks and activities. This may be helpful to some of you, or not at all useful to others. I’ll leave it to you to decide and do with it what you will.

Now back to that video for a second…

The kind folks at Oxford also introduced us to something called a ‘priority matrix’. You may recall that after the video concluded, we plotted some of the discreet activities related to the Research Essay assignment for this course along the urgency and importance axes on the whiteboard at the front of the room. (For more information about the priority matrix, which is derived from something called The Eisenhower Box (Covey, 2004), Hekedemia.com has a pretty decent blog post on the subject here.) The goal of that exercise was to get you thinking about the relationship between and the time required for the various components that together comprise academic research. The ‘sweet spot’ on the priorities matrix grid is the upper right-hand quadrant: activities that are important but not urgent. If you can focus your energies and attention here, most of the time, you’re more likely to find that both your productivity and mental health will improve. (Caveat: this is my own, non-time-management-expert and anecdotal opinion only.)

I encourage you to use the concept of the priority matrix to help you plot and prioritize the research tasks that are ahead of you in the coming weeks. I know I’m going to use it…starting now!

Other handy tips from the aforementioned video to keep top of mind:

  • One Diary (or, Journal, or Online Calendar) — “Plant all your big rocks into your diary, and let your sand just fill in around them“. See fixed vs. fluid activities, above.
  • Timeblock — Assign a finite amount of time to each task. This will help keep you to keep focused, and will facilitate the all important balancing of multiple and competing priorities.
  • Cluster — Schedule similar activities at the same time. E.g., library research, reading, on-campus activities, etc. You’re likely to be efficient if you do this.

As I mentioned in class, the research process is iterative. As you begin your preliminary research and reading, and uncover more about your topic, your knowledge will increase and your own thoughts and ideas will shift, evolve, or even metamorphosize entirely. This is normal! In fact, this is one of the most rich and rewarding aspects of information discovery and original research. But. It. Takes. Time. Good researchers not only allow for this time, they plan for and vehemently defend it! This is something to take into account when you’re thinking of the various tasks associated with planning for and conducting academic research. I would highly recommend setting aside dedicated time over the course of the coming week or two and to prioritize your preliminary research and reading, as well as define your thesis. But then, you already knew that, because you’ve mapped it out on your priority matrix. Right?! 😉

I hope the above serves as a helpful refresher to what we covered in class this morning. Remember, time management is about taking responsibility for yourself, your goals, your actions and their subsequent outcomes.
